Privacy notice

How the Federated Management Institute collects, uses and protects personal information under the Protection of Personal Information Act, 2013 (POPIA).

What we collect

  • Delegate registrations: name, surname, designation, email address, mobile number, and any dietary or accessibility requirements you choose to share.
  • Invoicing details: company or institution name, VAT number, purchase order number and an accounts email address.
  • Enquiries: the name, organisation, email address, phone number and message you submit through our contact and in-house forms.
  • Assistant conversations: the messages you type into the on-site assistant, which are sent to one of our AI providers to generate a reply. Which provider handles a given message depends on availability at that moment.
  • Technical data: standard server logs including IP address, which we use for rate limiting and abuse prevention.

What we do not collect

  • We do not capture, transmit or store card numbers, CVV codes or bank card details. Card and Instant EFT payments are processed entirely within PayFast's secure environment.
  • Please do not enter card numbers, identity numbers or banking details into the on-site assistant. It is not a secure channel for those details and the assistant is instructed to refuse them.

Why we process it

  • To process your registration, issue tax invoices, and administer your attendance, certification and CPD records.
  • To respond to enquiries and prepare in-house training quotations.
  • To send joining instructions, venue packs and programme changes relating to events you have registered for.
  • To meet our legal, accounting and tax obligations.

Who we share it with

  • PayFast (Payfast (Pty) Ltd), our payment gateway, receives the name, email address, order reference and amount necessary to process a card or Instant EFT payment.
  • PECB receives the delegate details required to register you for a certification examination and issue your credential, where you have booked a PECB course.
  • Assistant conversations are processed to generate replies by Groq, Inc., Cerebras Systems Inc. or Google LLC. We route each message to whichever service is available, so any one of them may handle a given conversation. These providers are outside South Africa, so assistant messages are processed abroad.
  • We do not sell personal information, and we do not share it with third parties for their own marketing.

How long we keep it

  • Registration and invoicing records are retained for the period required by South African tax and company legislation.
  • Certification records are retained for as long as needed to evidence your credential and CPD.
  • Enquiry correspondence is retained while it remains commercially relevant, and then deleted.

Your rights under POPIA

  • You may request access to the personal information we hold about you, ask us to correct or delete it, object to processing, and lodge a complaint with the Information Regulator of South Africa.

Security

  • This site is served over HTTPS with a strict content security policy, and form submissions are rate limited and validated server-side.
  • Access to registration records is restricted to Institute staff who need it to administer your booking.
